A new year traditionally calls for making resolutions. But let's be honest, how many of those stick past February?
If you're a freelancer or small business owner, you need more than just a wish list – you need a plan. The end of a calendar year is when many clients are on vacation, yearly budgets wind down and work projects tend to take a pause.
It's the perfect time to think about what you can do differently, how you can do it better, and how to be smarter and more profitable.
Every year I focus on a number of areas to optimize and improve my life and business. And every year I have freelancers ask me for my advice and recommendations.
Here's a breakdown of my year-end checklist. I encourage you to adapt it to your needs.

1. Client Review: Decide Who is SAFE and Who is OUT
You are the umpire of your client list and you want a roster of winners.
- Review Your Client List: Step up to the plate. If a client is consistently late with payments or is a pain to work with, it might be time to call them OUT! For your MVP clients—the ones who hustle and play fair—plan to knock it out of the park with over-delivered results next year. This way, you’ll keep your lineup strong and your season (or year) stress-free and profitable!
- Marketing Audit: Evaluate your marketing strategies. What worked well? What needs improvement? Consider experimenting with new channels or tactics.
- Set SMART Goals: Define specific, measurable, achievable, relevant, and time-bound (SMART) goals for your business in 2025. Break down larger goals into smaller, manageable steps. Check out Entrepreneur, Harvard Business Review, and Forbes for business advice and inspiration.

2. Security & Privacy: Lock Down Your Digital Life
In today's digital world, security is paramount. Take these steps to protect yourself and your business:
- Backup Everything: Don't wait for a disaster to strike. Back up your photos, documents, client work, internal files, and everything else that's important. Consider using a cloud storage service like Dropbox, Google Drive, or iCloud in addition to an external hard drive.
- I use Backblaze for automated, off-site backups of all my data.
- Password Power-Up: Are your passwords strong, unique, and up-to-date? Use a password manager like 1Password or LastPass to generate and store complex passwords. Now is also the time to enable two-factor authentication (2FA) wherever possible. Check if your passwords have been compromised on Have I Been Pwned?.
- My personal favorite FREE password manager is Bitwarden.. And my favorite PAID password manager is 1Password. Both are great.
- Silence the Spam: Robocalls and spam are a productivity killer. Sign up for services like Nomorobo to block unwanted calls. Review your email filters and unsubscribe from unnecessary lists.
- Credit Check: Obtain your free annual credit report from each of the three major credit bureaus (Equifax, Experian, TransUnion) through AnnualCreditReport.com. Look for any inaccuracies or signs of identity theft.
- Shred It: Protect your sensitive information. Shred any documents older than seven years that contain personal or financial details.

3. Automation & AI Tools
The rise of AI offers incredible opportunities to streamline tasks and increase productivity. Exploring these tools can give you a significant advantage.
- Explore AI Tools: Research AI-powered tools for tasks like content creation, marketing automation, customer service, scheduling, and data analysis. Examples include Jasper for content writing, and Zapier for task automation.
- I use ChatGPT and Google Gemini every day. Both are excellent for brainstorming, editing, and content creation.
- Experiment and Implement: Start with small experiments to see how these tools can benefit your workflow. Gradually integrate them into your daily operations to free up time and improve efficiency.

4. Technology: Upgrade Your Tools for Maximum Productivity
Is your technology helping or hindering your productivity?
- Hardware Health Check: Evaluate your computer, smartphone, and internet connection. Are they running smoothly? Do you need to upgrade your operating system or consider a new device? Now is a good time to make those purchases during year-end sales. Check out PCMag and CNET for hardware and software reviews.
- Software Audit: Go through your installed programs and apps. Uninstall anything you no longer use to free up space and improve performance.
- Need for Speed: Slow internet can be a major bottleneck. Test your internet speed using a site like Speedtest.net. If it's lagging, contact your provider to explore faster plans.

5. Financial: Set SMART Financial Goals for 2025
Financial planning is crucial for both your personal life and business success.
- Subscription Scrutiny: Scour your email, credit card statements, and bank debits to identify all recurring subscriptions. Cancel any that are no longer serving you. Consider using an app like Truebill or Trim to help you manage subscriptions.

- Movement Matters: Make a plan to incorporate regular exercise into your routine. Even small changes, like taking the stairs or going for a walk during your lunch break, can make a difference. - Networking: Make an effort to connect with other professionals in your industry. Attend industry events, join online communities, and reach out to people you admire.
- Personal Pursuits: What are your hobbies and passions? Make time for activities that bring you joy and help you recharge.

8. Clean Up: Declutter Your Digital and Physical Spaces
A clean and organized environment promotes productivity and peace of mind.

Your social media profiles are often the first impression you make on potential clients or partners.
- Profile Audit: Review all your social media profiles (LinkedIn, Instagram, Bluesky, Twitter/X, Facebook, etc.). Ensure your bios are up-to-date, professional, and consistent with your brand. Check your privacy settings and make sure your content aligns with your professional image.
- Content Strategy: Plan your social media content for the new year. What kind of content will you share? How often will you post? Use a scheduling tool like HubSpot, Buffer, or Hootsuite to streamline your posting.

10. Legal: Ensure Your Affairs Are in Order
Protect yourself and your loved ones by taking care of essential legal matters.
- Will and Estate Planning: If you don't have a will, create one. If you do, review it to ensure it's up-to-date and reflects your current wishes. Consider consulting with an estate planning attorney.
- Healthcare Proxy and Power of Attorney: Designate a healthcare proxy to make medical decisions on your behalf if you become incapacitated. Appoint a power of attorney to handle your financial affairs if needed.

11. Mental Well-being & Burnout Prevention
Freelancers and small business owners often face unique pressures that can lead to burnout. Prioritizing your mental well-being is just as important as your physical health.
- Set Boundaries: Establish clear boundaries between your work and personal life. This might mean setting specific work hours, creating a dedicated workspace, and learning to say no to projects that overload your capacity.

Our communities thrive through volunteerism. We all need to pitch in. Giving back to your local community has multiple benefits and is personally rewarding.
- Volunteer: Offer your time and skills to local non-profit organizations or community initiatives.
- Sponsor Events: Consider sponsoring local events or initiatives that align with your values.
- Offer Pro-Bono Services: If applicable, offer your professional services pro-bono to individuals or organizations in need.

13. Contingency Planning
While you plan for success, it's also wise to prepare for unexpected challenges.
- Build an Emergency Fund: Aim to have at least 3-6 months of living and business expenses saved in an emergency fund.
- Create a Business Continuity Plan: Develop a plan outlining how you will continue operating in case of disruptions like natural disasters, illness, or economic downturns.
- Secure Insurance Coverage: Ensure you have adequate insurance coverage, such as liability insurance, health insurance, and disability insurance.
- Develop Alternative Revenue Streams: Explore ways to diversify your income sources to reduce reliance on a single client or project.
